China, glassware, flatware, chafers, linen, tables, chairs and tents — rented by the event rather than owned, which is how most catering actually gets equipped.
A caterer’s equipment problem is the opposite of a restaurant’s. You are not outfitting one room once; you are outfitting a different room every weekend, at a size you do not control, with a load-in window you did not choose. Renting is usually cheaper than owning until volume says otherwise, and the terms around delivery, damage and dish return are where the money actually moves.
What to ask before you book
Take this into the call. No vendor gets to edit this list.
- What is the delivery and pickup window, and what does it cost outside normal hours? A Sunday morning strike is priced differently from a Monday pickup, and venues rarely let you choose.
- Who is responsible for stairs, elevators, and distance from the truck? Long carries and no loading dock are common surcharges and they are easier to negotiate before the contract than after the invoice.
- Do dishes come back rinsed, scraped, or as-is — and what is the charge if they do not? This is the single most common billing dispute in event rental.
- What is the damage and loss policy, is there a waiver, and does the waiver actually cover loss or only breakage?
- What happens if the guest count changes? Ask for the deadline to adjust counts down, not just up, because adding is always easier than subtracting.
- Is the quantity you are quoted the quantity that will be on the truck, or the quantity in the warehouse? Ask how they handle a shortage discovered on site.
- For tents: who pulls the permit, and does the municipality require one at this size? Tent permits are municipal and they are the thing most likely to be missed.
- Are linens sized to the tables you are actually renting? Drop length is measured, not guessed, and mismatched linen is visible from the door.
